Payment details

If you pay by bank transfer or invoice, your details will be processed and stored in our finance system, Xero.

- Manage our customer and organiser database (ActiveCampaign CRM)
- Send you updates, promotions, and marketing via email, SMS, or WhatsApp (through ActiveCampaign)
- Deliver digital marketing through search engines (Google) and social media platforms (Meta – Facebook/Instagram, LinkedIn)
- Create custom audiences and lookalike audiences on advertising platforms such as Meta and LinkedIn, by securely matching your contact details (e.g. email or phone) to deliver more relevant promotions
- Collect and publish reviews and testimonials (with your consent)
- Improve our services based on your feedback
- Protect and/or enforce our legal rights and interests, including defending any claim
- For any other purpose authorised by you or under the Privacy Act 2020
How will my personal information be protected?

- WooCommerce – our online shop platform
- Stripe – to process payments securely
- Xero – our finance and accounting system
- ActiveCampaign – for email, SMS, WhatsApp, and CRM services
- Meta Platforms, Inc. – for Facebook and Instagram advertising
- Google – for analytics, search, and digital advertising
- Courier companies – to deliver your orders
- Website hosting and IT support providers
- Providers of chat support or customer review systems (if in use)
- Any person or organisation legally entitled to require us to supply your information (e.g. regulatory authorities)
Some of these third-party suppliers may be based outside New Zealand. This means your personal information may be processed in a country that does not have the same level of privacy protection as New Zealand.
How long will my personal information be kept for?
We only keep your personal information for as long as it is needed for the purpose we collected it. After that, it will be securely deleted.
- Produce clients (bulk orders): If you stop ordering or engaging with So Sweet, we will delete your personal information after two years.
- Fundraising organisers and contacts: We will keep your details for up to two years after your last fundraising activity or contact with So Sweet.
- Marketing contacts: If you unsubscribe from marketing, we will remove you from mailing lists immediately.
- Inactive contacts: If you have not interacted with So Sweet in any way for two years, we will remove you from our database.
- Business contacts: If you are engaged with So Sweet, we will retain your details while we are working with you. Once the engagement ends, we will delete your details after two years.
- Deletion on request: You may ask us to delete your personal information at any time, and we will do so unless we are required by law to keep it (for example, financial records needed for tax compliance).
Your rights
You have the right to:
- Request a copy of the personal information we hold about you
- Ask us to correct any information you believe is inaccurate
- Object to the use of your personal information for certain purposes (such as marketing)
